What we collect

  • Account data (customers): name, email, shipping/billing address, optional phone, order history, and digital entitlements for eBooks.
  • Checkout & transactions: cart contents, shipping selections, fulfillment status. Payments are processed by our payment processor (e.g., Stripe). We do not store full card numbers.
  • Communications: emails you send us, order/receipt emails, and notices related to your account or purchases.
  • Usage & device data: IP address, browser details, pages viewed, timestamps, and cookie identifiers to keep sessions secure and understand site usage.

How we use information

  • Provide and secure the Services (logins, orders, downloads, account pages).
  • Process and fulfill orders, including US-only shipping options where applicable.
  • Send transactional messages (receipts, order updates), and respond to your requests.
  • Improve site performance, features, and user experience using aggregate analytics.

Payment processing

  • Cookies: manage in your browser settings.

  • Do Not Track: our Services do not currently respond to DNT signals.

Children’s privacy

Our Services are not directed to children under 13. If you believe a child provided information to us, contact us to request deletion.

International users

Author data we collect

  • Profile: name, email, pen name, biography, city/state (optional), imprint preferences.
  • Submissions: manuscripts, synopses, sample chapters, cover art, notes, and related metadata/files.
  • Workflow: status history, messages between you and our team, revision requests, production task notes.
  • Technical: audit and access logs to keep your files secure (e.g., who viewed/downloaded a file and when).

How we use author data

  • Evaluate and manage submissions, request revisions, and communicate editorial decisions.
  • Move accepted works into production, including asset management (covers, EPUB/PDF), and catalog preparation.
  • Maintain an accurate editorial record, comply with contracts, and protect our Services from abuse.

Retention & deletion

We retain submission materials and workflow records as a legitimate business need to maintain an accurate editorial history and comply with legal obligations. You may request deletion of inactive drafts or personal profile details where feasible and not in conflict with legal/contractual needs.

Confidentiality

We treat author submissions as confidential within StoneGate and trusted service providers who support our editorial and production processes.

We may update this Policy from time to time. We will post changes here and update the “Last updated” date. For material changes, we may provide additional notice.
